Managing Fabric Inventory

Keeping track of your fabric inventory prevents costly over-ordering and project delays from stockouts.


Inventory best practices:

  • Record every roll with name, type, color, pattern, width, yardage remaining, cost per yard, and rack location
  • Update yardage counts after every project cut
  • Set a low-stock threshold (typically 8 yards) to trigger reorder alerts
  • Track fabric by supplier for faster reordering

  • When to reorder:

    Reorder when a frequently used fabric drops below 8-10 yards remaining. For specialty or long-lead-time fabrics, set higher thresholds. The StitchDesk dashboard highlights low-stock fabrics automatically.


    COM (Customer's Own Material):

    When clients provide their own fabric, always inspect it upon receipt. Check for defects, measure actual yardage, and document the condition. This protects you from liability if the fabric has hidden flaws.


    Storage tips:

    Store rolls horizontally on racks, away from direct sunlight. Keep leather and velvet in climate-controlled areas to prevent moisture damage.
